MAGAZINE #6 - CASE MANAGEMENT: STREAMLINING COMPLEXITY WITH A CHANGE IN APPROACH

The solution through BPM

The term "case management" has different meanings depending on the areas in which we are operating, and defining what it really is in generic terms can lead us into confusion.
We often hear about "case management" in health care or in the legal world.

In health care, for example, there will be a common goal for each patient (wellness) but different ways to implement it depending on the uniqueness and specificity of the clinical picture.
Also known as "case management" are helpdesk management, customer service, contract management, and much more.

In these very different contexts, what unites this discipline, which is applicatively different in different areas, is the little structuring of the processes being managed, the presence of ad hoc interactions, and the difficulty in defining events and milestones in advance; what is known is only one input and one output.

We can think of case management as a business process management ( BPM ) exception.

BPM tools normally lead to process optimization by abstracting specific real cases back to predefined processes that are automated.
Unlike the former, case management tools, focus more on unstructured, specific and not always repeatable cases.

Indeed, what happens if with a BPM tool I have to govern a flexible and complex case such as the initiation of a contract and the management of numerous operations related to its execution ?

The change in approach

Normally a very complex process would be structured to handle all possible deconstruction. This would make it arduous and almost impossible to govern.
Instead, the change in approach needed is one of accompanying deconstruction, thus not making the software a limitation to operations but a useful guide to case management.

We have made this possible with Jamio, trying to define according to our "point of view," a very lean and dynamic tool, capable of allowing us to quickly build ad hoc cases, defining actors to activities quickly, in real time without having to call in a process designer and without having to use modeling tools. Here is a direct example:

CASE EXAMPLE JAMIO

Case Description:
Let's take the example of a company operating in the field of Finance attached to the administration of large amounts of financial and capital assets on behalf of third parties. You will have a very large scenario to manage, always different depending on each client. What benefits will be gained by approaching a BPM software such as Jamio?

  GOALS (Goal)

  • Contract initiation management
  • Management of numerous operations related to contract execution
  • Document digitization
  • Integration of different technologies already in place

[minti_icon icon="Example of fa-bar-chart" color="#8888″ size="20px" margin="0px 0px 0px 0px"] CHALLENGES (Challenges)

  • Production of numerous paper records
  • Numerous contract types, flexible and often very different from each other
  • Hundreds of new different contracts per year
  • Continuous customer management through numerous unstructured operations
  • Orchestration of the entire business workflow
  • Long solution implementation time with a traditional development approach
  • Constant adaptation to new regulations

  • Saving 60% on operating costs
  • Solutions implementation time slashed by 50%
  • Orchestration and control of complicated and flexible operational processes
  • Reduction of errors
  • Elimination of paper flow
  • Self-assembly of documents and attachments
  • Automatic archiving of warrants
  • Real-time monitoring of the progress of contractual relationships by both the company and the client.
  • Confidentiality and GDPR compliance

Openwork alongside Samsung for innovation

Samsung Innovation Camp is a project promoted by the multinational company itself in partnership with Randstad and in collaboration with theUniversity of Bari Aldo Moro (and other Italian universities) with a very specific purpose, to accompany undergraduates and graduates towards the job market through digital innovation, in order to enrich skills and obtain a wider range of opportunities in the labor market.

After the success of the first edition inaugurated in 2017 with more than 4,000 students enrolled from all over Italy, the project was again proposed and supported by partner companies and newspapers.

Openwork, which is already active on the topic of digital skills with the collaboration of Bari Polytechnic University (with which it conceived the Competence Center project on BPM), has been chosen as one of Samsung's project partner companies, and in addition to promoting this initiative it will be responsible for transferring valuable knowledge to students on the digital topic and supporting them during the implementation of a project work.

This interesting experience, which has already begun with an initial Openwork intervention at the University of Bari, will begin again on January 16, 2019 with classroom training.

The training course includes an increase in digital skills in the following areas: DIGITAL MARKETING, COMMUNICATION, DATA ANALYTICS, CYBER EDUCATION AND AN INNOVATIVE USE OF TECHNOLOGIES.
Classes will be delivered mainly online, and at the end of the course, the best students will have the opportunity to participate in three days of classroom activities; the exchange of classroom experiences will be an opportunity to get to know some companies in the area and work together with them to propose innovative digital solutions.

Business efficiency and cost control: IT's priorities today

The 2018 Assintel Report of March u.s. (National Association of ICT Enterprises) reports within it some very interesting data about the main IT priorities for 2018.

7 are the ones that aggregate the highest percentages, carrying keywords that, amplified across the entire organization, make it clear how process automation/optimization and cost reduction/control are actions that are not only related, but also intertwined to improve business efficiency (source Assintel Report 2018).

Controlling IT costs is at the top of this ranking, just to underscore how the management of such tools affects the management of the company's economy, yet carries with it a physiological legacy of incompatibility between change and the cost of innovation. Throwing out the old to make room for the new is often understood as burdensome in economic and management terms, but this is not necessarily the solution. The orientation is to simplify for efficiency, and integration is the key. If old systems limit the management of new, unmanaged processes, a BPM platform, which can integrate via web services, provides innovation, optimization, streamlining of systems and preservation of areas uncovered by legacy systems, horizontally linking all organizational processes.

In an era when internal efficiency is a competitive driver that propagates over relationships with the entire organizational ecosystem having the ability to debug processes, systems and activities becomes a must.

What solution then?

The solution then becomes integrating innovative technology to its systems, capable of redesigning business models to ensure the oversight of all activities and automate processes, allow easy access to information, even on the move, and manage collaborative work, all with the simplicity demanded by our times:

  • User friendly interfaces customized to specific organizational needs allow significant time savings already in interaction with the software
  • modeled applications without the need to write code guarantee vendor independence in modifying solutions
  • cloud solutions convey security and mobility
  • platform systems make it possible, in a single environment, to find all the tools you need, without having the need to switch from one system to another

Cost reduction in the sense of systems efficiency, ease of use, and reduced time for software delivery and interpretation/use.

Therefore, not the past, but still current priorities that need to be acted upon to ensure one's competitiveness.
